InboxPilot

Terms of Service

Last updated: 1.6.2 release. These Terms govern your access to and use of the InboxPilot email-sending platform (the “Service”). By creating a workspace or sending through the Service you agree to these Terms.

1. The Service

InboxPilot is a multi-tenant Email Service Provider that lets you authenticate your own sending domains and send permission-based email through your own Microsoft 365, SMTP or other connected sending accounts. You are the sender of record for all mail you originate; InboxPilot provides the tooling, controls and delivery infrastructure.

2. Eligibility & accounts

You must be able to form a binding contract and provide a valid organization name and physical mailing address. You are responsible for the accuracy of your account information, for all activity under your account, and for keeping your credentials and API keys secure. Notify us promptly of any unauthorized use.

3. Acceptable use

Your use of the Service is subject to our Acceptable Use Policy, which is incorporated into these Terms. In summary: opt-in recipients only; no purchased, rented, scraped or harvested lists; honest sender identification; a working one-click unsubscribe and a valid physical address in every message; authenticated sending domains (SPF/DKIM/DMARC); and no phishing, malware, fraud or filter-evasion. Violations may result in immediate suspension.

4. Your content and data

You retain all rights to your contact lists, templates and message content. You grant us the limited right to process this data solely to operate and provide the Service (for example, to render, queue, send, track and suppress messages). You represent that you have the necessary consent and legal basis to email every recipient you upload.

5. Compliance responsibilities

You are responsible for complying with all laws applicable to your messages, including CAN-SPAM, GDPR, CASL and similar regulations. InboxPilot provides compliance controls (consent tracking, mandatory unsubscribe, suppression of bounces and complaints, authentication checks) but does not assume your legal obligations as a sender.

6. Fees, plans & billing

Paid plans are billed in advance on a recurring basis (monthly) through our payment processor, or by the alternative payment methods offered in the billing page. Sending is enabled only while your license is active. If a recurring payment lapses, sending is automatically suspended until the license is renewed. Except where required by law, fees already paid are non-refundable. You can change or cancel your plan at any time; cancellation stops future renewals.

7. Payment processing

Card payments are processed by Stripe, Inc. and are subject to Stripe’s terms and privacy policy. InboxPilot does not store your full card details. Cryptocurrency payments, where offered, are verified before a license is activated.

8. Suspension & termination

We may suspend or terminate your access if you violate these Terms or the AUP, if your sending harms platform reputation or other tenants, or if required by law or a provider. You may stop using the Service at any time. Provisions that by their nature should survive termination (including fees owed, disclaimers and limitations of liability) will survive.

9. Service availability

We work to keep the Service available and reliable but do not guarantee uninterrupted operation, and no legitimate provider can guarantee inbox placement. Deliverability depends on your consent practices, content and sending reputation.

10. Disclaimers & limitation of liability

The Service is provided “as is” without warranties of any kind to the maximum extent permitted by law. To the extent permitted by law, InboxPilot will not be liable for indirect, incidental, special or consequential damages, and our total liability arising out of the Service is limited to the fees you paid in the three months preceding the claim.

11. Changes to these Terms

We may update these Terms from time to time. Material changes will be reflected on this page with an updated date. Continued use of the Service after changes take effect constitutes acceptance.

12. Contact

The Service is operated by InboxPilot. Questions about these Terms, or requests relating to your account, can be sent to [email protected] or raised through your workspace administrator.
